Leadership Development: 4 Steps to Giving Helpful Feedback by Tools 2 Succeed, Inc.

The intent of the giver must be caring and respectful. Feedback must be relevant to the situation and helpful. Be sure that your feedback is descriptive rather than evaluative, e.g., don't use it to judge, manipulate, or control others. Be specific, giving sufficient detail. Make sure you have done your homework and that your facts are accurate. Feedback is most helpful when given as close to the event as possible.
STEPS IN GIVING HELPFUL FEEDBACK
1. Share your desire to provide feedback.
2. Describe your perceptions and observations, using a three-part "I" message:
"When you…" (Describe the behavior without judgment.)
"I feel…" (Tell them how the behavior affects you.)
"Because I…" (Describe the consequence, that is, why the behavior affects you as it does.)
3. Listen carefully to the other person's point of view.
4. Thank the person for the opportunity to share.
Note that "I" messages take the focus off of the other person and describe what you observed, how you felt about it, and the consequences to you or others. By using "I" messages when giving feedback, you will help avoid blaming and attacking others.
